Sample Approval Checklist for Custom Paper Packaging Buyers

Help buyers check samples for structure, color, print, finish, packing, and approval records before mass production

Sample approval fails when buyers sign a pretty photo and leave size, color method, and packing undefined. Bulk then “does not match sample” with no shared measurement record.

What Must Pass on a Paper Packaging Sample

A production-intent sample must prove the construction you will buy — not a marketing mock.

  • Fit: product seats without crush or excess rattle.
  • Function: open/close, handle, window, or magnet as specified.
  • Look: color and finish on production stock.
  • Pack: faces and corners survive the planned outer pack.

If any of those is “we will confirm in bulk,” you do not have an approval baseline.

Record each failed or open check as a correction, accepted deviation, or additional evidence request before the named buyer approver signs the release.

Artwork and Print Checks Before Sign-Off

Print sign-off needs the locked file revision and the real substrate.

  • Artwork revision ID matches the sample job ticket.
  • Registration and safe area hold on formed panels.
  • Color checked under the agreed light/method.
  • Finishes do not crack at folds or scuff in the sample pack.

Approving a white sample for structure and a separate PDF for color is fine only if both IDs are recorded before bulk.

Record the print method, substrate, color reference, viewing condition, finish locations, and artwork revision represented by the sample. Mark any remaining production difference before sign-off.

Photograph critical edges with a ruler and keep the sample labeled with revision IDs.

Bulk Risks to Control After Sample Approval

After approval, bulk still drifts when mills, operators, or files change without a recheck.

  • Freeze construction and artwork revision on the PO.
  • Define mid-run checks for long print runs.
  • State substitute rules if board/paper stock changes.
  • Keep a sealed retain for reorder comparison.

A one-line “same as sample” on the PO without IDs is not control.

Reuse this checklist on every new construction:

  • RFQ fields complete before sample order.
  • Sample labeled with structure + artwork revision.
  • Fit, function, print, packing all pass on one piece set.
  • Photos + measurements stored with buyer approver name.
  • PO and job ticket cite the same IDs.

An unchecked line stays open; it should not be treated as an assumed pass.

Agree the approval date, correction window, and effect on production timing before the named buyer approver signs the record.

Move Approved Details Into Production

Copy approved sizes, materials, print, finishes, packing, and tolerances into the production brief. Attach retain photos and the sample report.

If the program spans multiple components, keep them under one custom packaging specification path.

What to send back to the supplier

Return the signed sample record, approved and rejected observations, final artwork and dieline IDs, material and finish references, packing method, retained photos, and any accepted deviation.

How to keep the production handoff traceable

Make the PO, production brief, sample label, inspection plan, and supplier acknowledgement cite the same released revisions. Store replacements as new versions instead of overwriting the approved files.

When to Release Bulk

Release bulk when structure, print, packing, and revision IDs all pass on the same sample set and the PO cites those IDs.

Request a packaging review with the sample goals, product dimensions, revisions, and open deviations.

If any critical check is still verbal, keep sampling.

Before release, confirm that the approved material, finish, quantity, packing, and sample route still match the awarded quotation and production plan.

Sample Approval FAQ

Can I approve from photos only?

Only for low-risk reprints of an identical construction. New structures, colors on new stock, or critical fit need a physical sample.

How many samples should I order?

Enough to test fit, open/close, and packing — often one structure white plus one decorated, unless the factory already runs your exact job.

What if bulk is close but not identical?

Compare to the written tolerance and retain. Decide sort, rework, exception, or hold with a lot record — not a chat-only accept.

Who should sign the sample report?

A named buyer approver with authority on brand and function, plus the supplier QC owner.
