Custom Packaging Quote: What Buyers Should Prepare Before RFQ

Help buyers prepare size, material, quantity, printing, finishing, artwork, deadline, and use case before asking for a custom paper packaging quote

May 27, 2026 Updated September 19, 2026 Reviewed by Zhypacking Editorial Team

Packaging quotes drift when buyers send a logo and a quantity guess. Without size, structure, print, and approval assumptions, each factory invents a different SKU — then unit prices cannot be compared.

Build one RFQ packet for paper boxes and bags so structure, artwork, MOQ, and sample rules sit in the same brief before anyone prices.

Direct answer: Write box and bag fields in one table: inner size, structure, GSM and flute, insert, packing, and quantity by SKU, because a blended average unit price hides real cost. State the print method and finish zones such as soft-touch or spot UV, and confirm whether the 200 pcs project-level MOQ and the 15–30 working day lead time (counted after specifications, artwork, and sample requirements are confirmed) apply to this construction. Send the same packet to every supplier and file replies against the RFQ revision.

How this guide was prepared: The checklist maps buyer inputs to structure, artwork, sample, quotation and repeat-order decisions. ISO 9001:2015 supports documented quality-management processes, and the ICC Incoterms rules provide recognized delivery-responsibility definitions. Neither sets Zhypacking’s commercial MOQ or lead time; the published 200-piece and 15–30-working-day references are planning baselines that must be reconfirmed for the actual construction and schedule. What to Prepare Before You Ask for a Packaging Quote

Start with product reality, not decoration. Factories price what they can measure and tool.

  • Product map Dims, weight, orientation, single vs kit, retail vs ship.
  • Format choice Folding carton, rigid, mailer, bag — or mixed tiers.
  • Volume plan Launch qty, reorder forecast, and SKU count.
  • Timeline Sample deadline and first ship window.

If those four are missing, stop collecting prices. You are shopping assumptions, not packaging.

Box and Bag Specs That Make Quotes Comparable

Write box and bag fields in the same table so mixed programs stay comparable:

FieldWhat to writeWhy quotes need it
Inner/outer sizeL×W×H or bag W×H×gusset with clearancesPrevents under/over-size pricing
StructureCarton style, rigid lid, mailer type, handle typeDifferent dies and labor paths
Board/paperGrade, GSM, flute, wrap stock if rigidMaterial is a primary cost driver
Insert/voidTray, tissue, none — state explicitlyChanges fit and unit labor
PackingUnits per outer, export marksAffects freight and damage risk
QuantitiesBy SKU, not one blended averagePrice breaks and tooling recoveries

A bag-only RFQ and a box-only RFQ can share brand color — but not a single vague “packaging unit price.”

Use custom paper boxes to align the related specifications and RFQ inputs.

Artwork and Finish Details That Change Sampling

Artwork revision ID, color targets, print process, and finishes change sample rounds more than many buyers expect.

  • File control One revision ID for all components in the quote.
  • Print method Offset, flexo, digital — MOQ and setup differ.
  • Finish zones Soft-touch, foil, spot UV only where needed.
  • Formed check Barcodes and small type need a physical sample on production stock.

Changing print after structure is frozen often restarts both sampling and price.

See paper bags format and sample approval for these checks.

MOQ, Lead Time, and Approval Assumptions to Lock

Lock commercial assumptions in the RFQ so “cheap” quotes do not hide later costs.

  • MOQ by construction and print method, not a generic factory MOQ.
  • Sample rounds included vs charged, and what each round must prove.
  • Lead time from artwork lock and deposit, not from first email.
  • Who approves structure vs decoration vs packing.

If MOQ or lead time is “TBD,” the price is exploratory.

See custom retail packaging for these assumptions.

Supplier Questions That Expose Weak Quotes

Ask every shortlisted supplier the same questions:

  • Which fields in our RFQ are incomplete for a firm unit price?
  • What board/paper mill and substitute rules do you use if stock changes?
  • What fails your pre-shipment check for this construction?
  • How do you record artwork and construction revision IDs on bulk?
  • What is excluded from the quoted unit price (tooling, samples, freight, packing)?

Answers that stay vague on exclusions are not ready for award.

Review Zhypacking before finalizing supplier questions and proof requests.

Send a Cleaner Custom Packaging Brief

Send one packet: product photos/dims, structure choices, board/paper targets, artwork with revision ID, quantities, sample plan, packing, and destination markets.

Keep box and bag lines on the same custom packaging path when they ship as one brand system.

File the supplier replies next to the RFQ revision so reorders do not restart from chat history.

When the Quote Packet Is Ready

The quote packet is ready when size, structure, material, artwork revision, MOQ, sample rules, and packing are written once and shared to every supplier.

Request a packaging review with product photos and target formats.

Do not award on the lowest number if the RFQ fields are still incomplete.

See custom packaging services for this step.

Packaging quote paper boxes and bags FAQ

Why do quotes for the same size differ so much?

Structure, board, print coverage, finish, MOQ recovery, and packing exclusions differ. Align the RFQ fields before comparing unit price.

Can I quote boxes and bags on one form?

Yes if you list each construction on its own row with size, material, print, and qty. Do not blend them into one average unit.

When do I need a sample before PO?

When fit, handle strength, lid gap, color on real stock, or ship strength can fail bulk. Visual PDF mockups are not enough for those risks.

What is the minimum RFQ for a serious factory?

Product dims/weight, structure, material target, print/finish, qty by SKU, packing, sample expectation, and timeline.

RFQ handoff: Share product size, material, artwork, quantity, sample need, packing method, and deadline so the RFQ can be reviewed before sample approval. Send Specs for Review.
